Learn how to navigate SOPHIOS efficiently and find what you need quickly.
Main Navigation
SOPHIOS uses a sidebar navigation layout for quick access to all major features.
Sidebar Menu
The main sidebar on the left contains all primary navigation:

The sidebar can be collapsed by clicking the hamburger menu (☰) for more screen space.
Global Asset Selector
One of SOPHIOS’s most important features is the Global Asset Selector in the top navigation bar.
How It Works
- Current Selection: Shows the currently active asset
- Switch Assets: Click the dropdown to select a different asset
- Context Changes: All data (invoices, budgets, crew, etc.) updates to show the selected asset
Important: Always check which asset is selected before viewing or creating data. The asset selector affects all modules.
Multi-Asset View
Some screens offer a “All Assets” option to view consolidated data across your entire portfolio:
- Dashboard (overview mode)
- Reports & Analytics
- User management
Top Bar Controls
The top navigation bar contains global controls:
Left Side
- ☰ Menu Toggle - Show/hide sidebar
- Asset Selector - Switch between assets
- Search (⌘K / Ctrl+K) - Global search across all data
Right Side
- Notifications 🔔 - Alerts and reminders
- Help ❓ - Context-sensitive help
- User Menu 👤 - Profile, settings, logout
Search Functionality
SOPHIOS offers powerful global search:
Accessing Search
- Keyboard Shortcut:
⌘K(Mac) orCtrl+K(Windows/Linux) - Click: Search icon in top bar
What You Can Search
- Invoices - By vendor, number, amount
- Employees - By name, position, department
- Equipment - By name, type, status
- Budgets - By name, period
- Documents - By filename, type
Search Tips
Pro Tip: Use quotes for exact matches, e.g., "engine oil" instead of engine oil
Common Navigation Patterns
Creating New Records
Most modules follow a consistent pattern:
- Navigate to the module (e.g., “Invoices”)
- Click ”+ New [Item]” button (top right)
- Fill in the form
- Click “Save” or “Create”
Viewing Details
List View → Detail View pattern:
- Click any item in a list
- View full details in a side panel or dedicated page
- Edit by clicking “Edit” button
- Return to list with back button or close (×)
Filtering & Sorting
Most list views offer filtering and sorting:
Filters:
- Date Range - Filter by specific time periods
- Status - Filter by item status
- Category - Filter by expense category
- Department - Filter by department (for crew)
Sorting:
- Click column headers to sort
- Click again to reverse order
- Look for sort arrows (▲▼)
Page Layouts
SOPHIOS uses several consistent layout patterns:
Dashboard Layout
- KPI Cards at the top - Key metrics at a glance
- Charts in the middle - Visual data representation
- Recent Activity at bottom - Latest transactions or changes
List + Detail Layout
Common in most modules:
- Left Side: List of items (invoices, crew, equipment)
- Right Side: Detail panel showing selected item
- Actions: Top right of detail panel
Wizard Layout
Used for multi-step processes (payroll, setup):
- Progress Indicator at top - Shows current step
- Step Content in center - Current step form
- Navigation Buttons at bottom - Back/Next/Submit
Mobile Navigation
SOPHIOS is fully responsive for mobile devices.
Mobile Menu
On mobile/tablet:
- ☰ Menu - Opens as a drawer from the left
- Asset Selector - Full-screen dropdown
- Bottom Navigation (optional) - Quick access to key features
Mobile-Specific Features
- Swipe Gestures - Swipe list items for quick actions
- Touch-Friendly Buttons - Large tap targets
- Collapsible Sections - Tap to expand/collapse

SOPHIOS uses breadcrumbs to show your current location:

Notifications Center
Stay informed with the notifications panel:
Accessing Notifications
Click the 🔔 bell icon in the top bar to open the notifications panel.
Notification Types
- 🔴 Critical - Urgent actions required (overdue maintenance, payroll approvals)
- 🟡 Warning - Attention needed (document expiry, budget thresholds)
- 🟢 Info - General updates (new features, system messages)
Managing Notifications
- Mark as Read - Click individual notification
- Mark All Read - Button at top of panel
- Filter - Show only unread or specific types
- Settings - Configure notification preferences
Context-Sensitive Help
Every screen in SOPHIOS has context-aware help:

Hover over any field label or icon to see:
- Field Description - What the field is for
- Expected Format - How to fill it in
- Examples - Sample values
Quick Actions
Many list items support quick actions without opening details:
Action Menus
- Three-dot menu (⋮) on list items
- Common actions: Edit, Delete, Duplicate, Export
- Keyboard: Select item and press
Afor actions menu
Bulk Actions
Select multiple items to perform bulk operations:
- Checkbox Selection - Click checkboxes on list items
- Bulk Action Bar appears at top
- Choose Action - Delete, Export, Change Status, etc.
- Confirm - Execute action on all selected items
Bulk delete operations cannot be undone. Always double-check your selection before confirming.
Customizing Your View
Table Columns
Customize which columns appear in list views:
- Click Column Settings icon (usually top right)
- Toggle columns on/off
- Drag to reorder columns
- Settings are saved per user
Density Control
Adjust list density for your preference:
- Compact - More items, less whitespace
- Default - Balanced
- Comfortable - More whitespace, larger text
Dark Mode
Toggle between light and dark themes:
- User Menu → Appearance → Dark/Light/Auto
- Auto mode follows system preference

Troubleshooting Navigation Issues
Page Not Loading
- Refresh the page (
⌘R/Ctrl+R) - Clear browser cache
- Check asset selector - ensure an asset is selected
- Verify permissions - you may not have access
Can’t Find a Feature
- Use global search (
⌘K) - Check your user role permissions
- Verify asset selection
- Contact support if still not found
