Accessing Financial Reports

  1. Navigate to Reports in the sidebar
  2. Click the “Finanzas” tab (5th tab)
  3. Choose from three sub-tabs described below

Sub-Tabs

Balance General

Organization-wide financial summary providing a high-level view of income versus expenses.

What it shows:

  • Total income and total expenses for the selected period
  • Net balance (income minus expenses)
  • Monthly trend chart comparing income vs. expenses over time
  • Year-to-date cumulative totals

Use cases:

  • Monthly financial review meetings
  • Quick health check of organizational finances
  • Identifying months with unusually high expenses

Budget Utilization Panel

Displayed within the financial reports area, this panel shows progress bars for each active budget.

What It Shows

  • One progress bar per active budget
  • Current spending vs. budget limit
  • Color coding based on utilization level:
ColorUtilizationMeaning
GreenBelow 80%On track
Yellow80% - 99%Approaching limit
Red100%+Over budget

How It Calculates

For each budget, the panel sums all invoice amounts linked to that budget (using the invoice-budget relationship). When an invoice is linked to a budget but has no specific allocation amount, the invoice’s total amount is used as fallback.

Recurring Contracts Panel

Groups invoices that share a recurringGroupId to show ongoing contractual obligations.

What It Shows

  • Collapsible groups, one per recurring contract
  • Contract value — the recurring invoice amount
  • Frequency — Monthly, Quarterly, Biannual, Annual, or Custom
  • KPI cards summarizing total recurring obligations
  • Individual invoices within each group

Recurring invoices are regular invoices with isRecurring: true and a shared recurringGroupId. They follow the same approval workflow as one-time invoices.

Best Practices

Financial Reporting Tips

  1. Assign spending lines — Ensure all invoices have a spending line assigned for accurate cost center reporting
  2. Close reconciliations monthly — Run the Cierres de Caja workflow at least monthly to keep books clean
  3. Monitor budget utilization — Check the budget panel weekly to avoid overspending surprises
  4. Review recurring contracts — Use the recurring panel to understand fixed obligations before budgeting
  5. Cross-reference sources — Compare Invoice Analytics with Yacht Analytics to ensure consistency
  6. Export for audits — Generate PDF reports for external auditors or financial advisors
