Asset Management Overview
Assets are the foundation of SOPHIOS. Everything else — invoices, budgets, crew, equipment, trips — is connected to an asset.
What is an Asset?
In SOPHIOS, an asset represents any high-value item in your portfolio:
- 🛥️ Superyachts and maritime vessels
- ✈️ Private jets and aircraft
- 🏰 Properties and real estate
- 🚗 Luxury vehicles and automotive collections
Each asset has its own separate data: invoices, budgets, crew, equipment, and maintenance are all asset-specific.
Asset Types
SOPHIOS supports four distinct asset types, each optimized for its specific use case:
Maritime vessels including superyachts, sailboats, and motor yachts
Private aircraft including jets, turboprops, and helicopters
Real estate including villas, estates, apartments, and commercial properties
Luxury vehicles including supercars, classics, and specialty vehicles
Asset Features
Global Asset Selector
The most important feature in SOPHIOS is the Asset Selector at the top of every page.
How it works:
- Shows the currently selected asset
- Click to see all your assets
- Select an asset to switch context
- All data updates to show the selected asset’s information
Always check which asset is selected before viewing or creating data. The asset affects invoices, budgets, crew, equipment, and all other modules.
Asset Dashboard
Each asset has its own dashboard showing:
- Financial Summary - Total spend, budget utilization, recent invoices
- Crew Status - Number of crew, current availability
- Equipment Health - Operational status, maintenance due
- Recent Activity - Latest transactions and updates
Asset Metadata
Every asset stores comprehensive metadata:
Basic Information
- Name - Asset name or identifier
- Type - YACHT, JET, PROPERTY, or VEHICLE
- Description - Additional details
- Status - ACTIVE, INACTIVE, MAINTENANCE, SOLD
Registration & Documentation
- Registration Number - Flag state/tail number/plate/deed
- Built/Manufactured - Year of construction
- Builder/Manufacturer - Shipyard/maker
- Classification - Official classification/certifications
Location
- Home Port/Base - Primary location
- Current Location - Real-time position (if tracked)
- Coordinates - GPS coordinates
Technical Specifications
- Length/Size - Dimensions
- Weight/Tonnage - Gross tonnage or weight
- Capacity - Passenger/guest capacity
- Engine Details - Power and specifications
Financial
- Purchase Price - Initial acquisition cost
- Purchase Date - Date acquired
- Estimated Value - Current market value
- Insurance Value - Insured amount

Portfolio View
View all assets at once:
- Grid View - Visual cards showing each asset
- List View - Detailed table with key metrics
- Map View - Geographic distribution (if locations set)
Cross-Asset Reporting
Compare assets side-by-side:
- Total spending by asset
- Budget utilization comparison
- Crew cost per asset
- Maintenance costs by asset
Consolidated View
Select “All Assets” in the asset selector to see:
- Combined financial reports
- Total portfolio value
- Aggregate spending trends
- Cross-asset insights
Asset Assignment
Assets can be assigned to different contexts:
User Assignment
Grant users access to specific assets:
- Full Access - Owner and Admin roles
- Selective Access - Accountant, Manager, Viewer roles
- Per-Asset Permissions - Granular control
Example: An accountant might have access to “Yacht A” and “Jet B” but not “Property C”.
Organization Assignment
In multi-organization setups:
- Assets belong to one organization
- Users can access assets across organizations (if permitted)
- Data isolation ensures privacy
Asset Lifecycle
Creating a New Asset

Operating an Asset
Day-to-day management includes:
- Recording expenses (invoices)
- Tracking budgets
- Managing crew
- Scheduling maintenance
- Planning trips
Asset Transfer or Sale
When selling or transferring an asset:
- Archive Data - Export all historical data
- Update Status - Mark as “SOLD” or “TRANSFERRED”
- Remove Access - Revoke user permissions
- Soft Delete - Keep historical data but hide from active views
Deleting an asset removes ALL associated data (invoices, budgets, crew, etc.). Always export data first!
Asset Icons & Branding
Each asset type has a distinctive icon:
- 🛥️ YACHT - Blue/nautical themed
- ✈️ JET - Sky blue/aviation themed
- 🏰 PROPERTY - Architectural/building themed
- 🚗 VEHICLE - Automotive themed
Custom icons or photos can be uploaded for personalization.
Best Practices
Naming Conventions
Use clear, consistent names:
- Yachts: Use official name (e.g., “Serenity”, “Ocean Pearl”)
- Jets: Use tail number or name (e.g., “N12345”, “Sky King”)
- Properties: Use location or name (e.g., “Monaco Penthouse”, “Villa Azur”)
- Vehicles: Use make/model or name (e.g., “Phantom VIII”, “LaFerrari 2015”)
Metadata Completeness
Fill in as much metadata as possible:
- Better Reporting - More data = better insights
- Compliance - Required for insurance and regulations
- Resale Value - Complete documentation increases value
- Historical Record - Important for long-term asset management
Regular Updates
Keep asset information current:
- Quarterly Review - Update valuations and specifications
- After Modifications - Record upgrades and refits
- Insurance Renewals - Update insured values
- Location Changes - Update home port/base
